Most freelancers and small studios bill by duplicating a spreadsheet and overwriting the numbers. It works until someone breaks a total formula or forgets the tax line, and exporting to PDF every month is its own small chore. Online invoicing services are smoother but usually want an account, and their free tiers stamp a watermark on your document.

How to use

  1. Set the invoice detailsFill in the invoice number, issue date, due date and currency at the top. A scheme like INV-2026-001 that combines year and sequence keeps year-end reconciliation simple.
  2. Add both partiesEnter the sending and receiving company names, addresses, contacts and tax IDs in the left panel. The logo text field appears in bold at the top of the document.
  3. Enter line itemsAmounts calculate from quantity and unit price. Add rows with Add line item and remove them with the trash icon. Set the tax rate to match your jurisdiction, or 0 for zero-rated exports.
  4. Save as PDFReview the preview on the right, then click Download PDF to open the print dialog and choose 'Save as PDF' as the destination.

Frequently asked questions

Is this a legally valid tax invoice?

It is a commercial invoice, not a jurisdiction-specific tax document.

Many countries require tax invoices to be issued through an approved system or to carry specific mandatory fields — Korea's electronic tax invoice system and the EU's VAT invoice requirements are two examples. This tool produces a clear statement of what was delivered and what is owed, which is standard for international freelance work, contract evidence and internal reconciliation. Check your local rules before using it for tax filing.

Are my client details and amounts stored on a server?

No. Everything is kept in your browser's localStorage.

That is what lets you close the tab and come back to the invoice you were drafting, or reuse last month's details for the same client and change only the amounts. On a shared computer, clear the site data when you are done, or use the reset button to blank every field.

Can I apply a percentage discount?

The discount field takes a fixed amount. The order of operations is subtotal → subtract discount → apply tax rate → total.

For a percentage, compute it against the subtotal and enter the result — 10% of 9,200 is 920. Note that tax is calculated on the discounted amount; if your contract taxes the pre-discount figure, add the discount as a negative line item instead.

What every invoice must contain

An internationally acceptable invoice carries the issuer's details, the recipient's details, a unique invoice number, the issue date, a due date, itemised lines with amounts, a total, and payment instructions. Missing any one of these is the usual reason an invoice stalls in someone's accounts-payable queue.

The number in particular must be unique. Sending two invoices with the same number gets one rejected as a duplicate or silently dropped. A year-plus-sequence scheme avoids this and sorts naturally.

Payment terms and getting paid

'Net 30' means payment is due 30 days from the issue date. Smaller engagements often use 14 days or end-of-following-month. Invoices without an explicit date tend to age indefinitely, so always state one.

Putting bank details directly in the notes removes a round trip of questions and measurably speeds up payment. For international transfers, include the SWIFT/BIC code, the bank's address, and who bears intermediary fees.

Currency formatting and rounding

Korean won and Japanese yen have no decimal subunit in practice, while dollars and euros use two places. Changing the currency here switches the formatting automatically.

Rounding order matters for tax. Rounding each line's tax and then summing gives a slightly different figure from applying the rate to the total once and rounding at the end. This tool does the latter. If your client's accounting system reports a one-unit discrepancy, that is almost always the cause.
